The Tradie's Guide to Never Missing a Call
How much a missed call costs a trade business, why callers do not leave voicemails, and three fixes that take under a week.
Why a missed call is worth more than you think
Ask any plumber, electrician or builder what happens when the phone rings while they are on the tools. It rings out. Maybe they call back at lunch, maybe at 6pm, maybe never. By then the customer has called two other businesses from the same Google search and one of them picked up.
Most people who call a trade business do not leave a voicemail. They are not being rude. They have a problem right now and they want someone who can answer. The voicemail box is where jobs go to die.
The maths for a typical business
Say you miss six calls a week. Not all of them are jobs, and you would not win every job anyway. Be conservative and say you would have won three in ten, at an average job value of $800. That is roughly $69,000 a year walking to a competitor. For a bigger operation with larger jobs the number is well into six figures. Use the calculator on our automation page with your own numbers.
Three fixes, ranked by effort
1. Missed call text back (48 hours)
The simplest and highest return fix. When a call rings out, the system sends the caller a text within seconds: "Sorry we missed you, what's the job?" The customer replies, the conversation starts and the lead is saved in a pipeline where it cannot be forgotten. Installation takes two days and does not change your number. It costs $490.
What to write in the text
Keep it short, human and specific. Sign it with a name. Ask one question. Avoid anything that sounds like a bot or a marketing message.
2. An AI receptionist (two to three weeks)
For businesses with real call volume, an AI receptionist answers the call itself. It asks what the job is, checks if it is urgent, offers times from your calendar and books it. You get a text summary. It handles evenings and weekends when most emergency jobs come in.
3. Quote follow up (part of a CRM build)
Missed calls are the visible leak. Quotes that never get chased are the invisible one. A CRM with a follow up sequence sends a polite text three days after a quote, then a week later, then a final check in. Most tradies who add this win two or three extra jobs a month from quotes they had written off.
Connecting it to the software you already run
If you use ServiceM8, simPRO, Tradify or AroFlo, the booked lead should become a job automatically, and a paid invoice in Xero should trigger a review request. That is where the admin savings come from. See the integrations we build.
Compliance note for Australia
Texting someone back after they called you is fine under the Spam Act because they contacted you first. Adding them to a marketing list is a different thing and needs consent. We build both correctly.
Where to start
Install missed call text back this week. Track how many replies you get for a month. Then decide on the AI receptionist and the quote follow up based on real numbers. Or book a free audit and we will map it for you.
